Hymans Robertson is seeking to recruit a Personal Assistant to act as the key point of contact and provide dedicated comprehensive administrative and secretarial support predominantly to two Partners within the Actuarial Practice in London.
Key responsibilities of the role include (but are not limited to):
· Processing daily correspondence, reports, presentations and other related documentation using Word, Powerpoint and Excel both by copy typing and audio.
· Actively managing forthcoming internal and external meeting on behalf of the Partners and preparing, collating and reviewing the appropriate material eg agendas, correspondence, meeting packs and presentations.
· Extensive and proactive diary management on behalf of the partners including arranging and managing appointments, lunches, travel and accommodation, producing itineraries where required.
· Attending meetings, as requested, ensuring that clear concise notes are taken and distributed accordingly and expediting actions as appropriate.
· Preparing presentations, proposals, external tenders and other associated documentation in conjunction with the appropriate internal contact.
· Responding to internal and external meeting requests and arranging the necessary resources.
· Distributing, drawing attention to and dealing with relevant client correspondence and calls on behalf of the Partners.
· Managing the monthly time recording and billing process on behalf of the Partners.
· Processing, monitoring and retaining records of expenses for Partners (and other members of the team where required)
· Ensuring that client files and records both electronically and in paper-based format are maintained to the expected standard.
· Providing secretarial support to other members of the actuarial team as well as other secretaries and PAs as required.

· Demonstrates initiative and has a high degree of confidentiality, discretion and integrity.
· Excellent interpersonal and communication skills.
Qualifications:
· Educated to GCSE / Scottish Standards or equivalent level in English, or with equivalent experience.
· Typing speed of approximately 50 words per minute with a 90% accuracy rate.
Experience:
· Relevant experience in the provision of support to senior level management, including working closely with and on behalf of senior management, extensive diary management and travel arrangements.
· Proficient in Microsoft Office, ideally 2007 or related applications.
· Understanding of best practice within an office environment.
